Department Overview

· GBM Business Services has been created by bringing together some of our GBM Service teams to create a positive difference for our clients and colleagues – delivering best-in-class services, increasing accountability and embracing innovation. GBM Business Services is part of the GBM Chief Operating Office. The GBM COO is responsible for operational risk management, business operations and, key to this role, strategic enablement.
· At HSBC our vision is to digitise and automate our end-to-end processes and client services. This relies upon close collaboration between data, digital and transformation teams, working in partnership with Business Services IT. These three teams are combined to form Data Services, Digital and Transformation within GBM Business Service, part of HSBC Global Banking and Markets (GBM).
· The Executive Assistant will be supporting the Global Head of Data, Digital & Transformation (DDT).

Job Profile
· Executive Assistants provide secretarial/administrative support. Role holders will exercise confidentiality, tact and diplomacy skills and will have sufficient expertise in their area to deputise for their superior and/or actively participate in meetings. The Executive Assistant may also oversee small projects.

Role

The Executive Assistant will be responsible for:

· Diary management, which includes scheduling meetings and establishing priorities to ensure that the Global Head of Data Digital and Transformation schedule runs smoothly and efficiently daily. This includes finding resolutions around clashes effectively
· Organising and arranging travel and accommodation
· Co-ordinating activities resources, meetings, services and managing internal and external stakeholders
· Organising and co-ordinating events and networking sessions
· Where required provide supporting administration, composing presentations, and logistics
· Gatekeeper or primary point of contact roles for an area
· Adhere to HSBC policies and maintain confidentiality on sensitive activities in the remit area

Qualifications :

Knowledge & Experience / Qualifications

·  Strong business background with experience of roles that require strong organisational and co-ordination skills or roles of a similar background.
·  Well organised and able to multi-task effectively and efficiently
·  Time Management
·  Ability to priorities book of work effectively
·  Strong written/verbal communication and presentation skills
·  Strong attention to detail
·  Excellent technical skills including Outlook, Word, Excel, and PowerPoint
