Job description



Maintenance Planner/Scheduler role is in support of the JLL Asset Management journey towards a World Class Maintenance organization.  This industry standard role provides more efficient means of managing facilities maintenance and associated maintenance labor, freeing hours for additional business priorities.  Planning & scheduling for all maintenance and operations encompassed in the Maximo CMMS tool are to be conducted using current CMMS system application and standardized business processes.

Knowledge, Skills and Abilities:

·  Provide leadership and direction for the efficient operations and maintenance of all facility systems, equipment and life safety systems.
·  Values safety for yourself and others around you.  Knowledge of OSHA Fatality Prevention programs
·  Establish best maintenance planning/scheduling methodology that fits the client’s needs to have an effective maintenance program.
·  Evaluated existing PM program based on historical data.  Using Reliability Centered Maintenance (RCM) practices make recommendations to increase efficiencies and reduce operating costs.
·  Where appropriate facilitate data, management related to the CMMS in compliance to the client’s SOP’s.
·  Solid personal computer skills: Hardware and software including Microsoft Office Products
·  Requires in depth/subject matter expert level knowledge of facilities planning & scheduling
·  Leadership skills (training, presentations, & teambuilding) and project management.
·  Organizational skills coupled with the leadership and interpersonal skills to be able to manage multiple maintenance activities simultaneously.
·  Good oral and written communication skills including the ability to communicate with all levels of management and interface with a diverse customer base including technical and non-technical personnel in order to effectively support a multi-discipline team environment
·  Ability or understanding of how to create CMMS ad hoc reports and submit Work Requests for complex data reports. Ability to write advanced queries and dashboards is a plus

Responsibilities:

·  Using industry and client best practices, plans, schedules, coordinates and assigned all frequency and work type maintenance activities for group or team of responsibility
·  Optimizes maintenance inventory by balancing work load to labor availability
·  Complies with all client CMMS standards and specifications to ensure database integrity and standardization
·  Assists Maintenance team in identifying and ordering spare parts for corrective and preventive maintenance.
·  Collects data and collaborates with operations team to optimize maintenance programs.
·  Maintains maintenance record compliance to CMMS and Maintenance business process standards and specs through periodic data auditing
·  Maintains liaison with facilities technicians and other management regarding work execution, necessity of altering schedules and manpower status
·  Tracks all asset information, including spare parts and documentation
·  Arranges for special tools and equipment
·  Tracks all asset information, including spare parts, documentation and Booked Labor
 
·  Continuous improvement of the work planning and scheduling process through the review and use of maintenance metrics, analysis of work order flow, project demands and expectations.
·  Submits and document database record changes using client CMMS change request system
·  Facilitate/Attend team Passdown or Ops meeting to communicate the plan and schedule for the day/week maintenance activities.
·  Identify open, unscheduled and/or unassigned work by running prescribed work order query in Assignment Manager
·  Provides weekly reports to maintenance management, identifies risks and gaps and provides resolution plans.
·  Develop/maintain and update standard operating procedures for CMMS operations.

Qualifications

·  Bachelor’s Degree in an engineering or management or 5 + year of working experience in the Maintenance Planning/Scheduling Space.
·  Experience in planning and scheduling the work of hourly employees using CMMS systems.
·  Building systems knowledge, preferably across multiple disciplines including CMMS, electrical, mechanical, plumbing, and HVAC.
·  Client service-oriented attitude
·  Excellent verbal and written communication skills
·  Experience with CMMS applications
·  Strong organizational and prioritization skills
·  Advanced computer skills
