Your day to day

Job Summary 

The Corporate Transient Support is looking for RFP Sales Associates. The team is a group of highly skilled Sales Associates responsible for ensuring RFPs are correctly launched, responded to with accuracy and reviewed before sending to the clients. The team is involved in the whole RFP process and is also expected to work with various business units to collect information needed for a successful Corporate Travel Sales Journey. Individuals on this team must be adept at using systems, can understand, and follow Standard Operating Procedures, manage multiple RFPs in various stages of the process, and thrive in a fast paced environment with multiple stakeholders representing all lines of business. The team is also responsible in ensuring that the Key Negotiated Rates are properly loaded and bookable on the system.

The Key responsibilities of RFP Specialists are:

· Support the business in identifying system and process enhancements that will be beneficial for the next RFP Season.

· Conduct user testing prior to the launch of system enhancements to hotels and Global Sales Worldwide.

· Manage the whole RFP process for Corporate Transient Accounts.

· Implement the Sales Strategies of IHG Global Sales.

· Compile and analyze the client’s RFP requirements.

· Prepare cover letters and client documents needed for the RFP.

· Create RFPs in the IHG RFP tool and other partnered third party RFP websites.

· Set up RFP Custom Questions and prepare customized exports.

· Ensure RFPs are launched correctly and without errors.

· Recommend to the client the hotels to be solicited from analysis based on the City Volume Reports, Number of Room Nights and client requirements.

· Assist solicited hotels in answering account queries.

· Contact hotels to follow-up RFP responses. Ensure that the hotels meet the due date of the RFP.

· Review RFP responses of the hotels before submission to the clients.

· Conduct Rate Reviews for accuracy and adherence to the IHG’s target rate growth.

· Initiate negotiations in behalf of the clients.

· Review the negotiation responses of hotels and clients prior to endorsing for decision (Acceptance/Decline)

· Accept/Decline RFPs and properly update the status on the tool.

· Prepare Rate Loading files to be submitted to the Global Rate Loading team.

· Correct rate loading errors.

· Assist Sales Associates and/or Sellers for any questions, concerns or activities related to the RFP process.

 

· Analyze reports, trends and data in relation to the performance of their assigned accounts.

· Recommend RFP solutions to the Sales Associates, Sellers or Clients.

 

 

What we need from you

Required Skills –

 

· Experience and knowledge of sales principles and techniques.

· Excellent verbal and written English (and as applicable specific language skills requirements) communication skills.

· Time management skills, attention to detail and ability to manage multiple tasks/clients required.

· Ability to build and manage relationships with Key Accounts. Ability to interact on a professional level with management and clients.

· Ability to maintain a consistent, high quality customer-focused orientation, including providing clear, accurate information; explaining procedures or materials or providing supplemental information; anticipating problems or questions.

· Willingness to learn new skills e.g. new applications, attend training courses.

· Meet the Service Level Agreement and complete tasks and projects as required.

· Must have strong customer orientation and adaptability, with the expertise to respond to different types of personalities appropriately, and the resilience to deal with occasional stressful or urgent situations.

· The ability to multi-task, prioritize and manage time effectively are essential for this role.

· Computer skills in Microsoft Office programs and ability to quickly learn and become proficient at new systems and processes, along with basic business office skills. etc. is important as negotiations occur across multiple systems

· Ability to read and follow standard operating procedures are required

· Ability to handle escalation protocol, tracking and meet or beat all defined SLAs

· Ability to articulate and trouble shoot problems as well as facilitate conversations to resolve issues

Qualifications –

· Associate degree or Bachelor’s degree or technical institute degree/certificate or an equivalent combination of education and work-related experience.

 

 

 

Experience –

· 1-3 years progressive work-related experience within a regional sales team, or similar environment, with demonstrated proficiency and understanding of one or more functions related to the position.
