CGI is currently seeking an Executive Assistant to provide high-level administrative support for the Senior Vice President of Western Canada (SVP) and Regional Vice President of the Calgary Region (RVP) based in our Calgary office.

Your future duties and responsibilities
• Responsible for managing SVP and RVP’s email, calendar, travel logistics, expense reports
• Ensure the successful completion of ad hoc requests from SVP and RVP on a daily basis
• Act as a liaison and maintain open lines of communication with SVP, RVP, their management team and other members of the organization
• Provide assistance to SVP and RVP’s management team with ad hoc tasks and projects
• Anticipate and prepare materials needed for internal meetings, while attending regularly and taking meeting minutes
• Coordinate and manage client meetings for SVP and RVP
• Successfully coordinate with vendors, caterers and other providers for local events
• Assist the Marketing & Strategic Events Manager of Western Canada with executing external events
• Weekly management of Business Development meetings and activities in Client Relationship Management for SVP and RVP
• Provide reception relief when needed by answering and transferring incoming calls, directing visitors as required
• Develop, implement and evaluate new and/or revised methods, procedures and standards
• Complete monthly internal workstation audits as part of our Security Policy
• Provide assistance RVP to the Annual Strategic Planning for our business plan and ensure the execution of set priorities
• Be an active member of our office committees: Social Club Committee, Diversity and Inclusion, Sustainability Committee
• Assist with team building initiatives and provide continued overall support for organization culture and employee morale

Required qualifications to be successful in this role
Essential Qualifications:
• Excellent interpersonal communication skills
• High level of professionalism, decorum and confidentiality
• Have a good understanding of business vocabulary
• Ability to effectively adapt to the changing environments and circumstances
• Demonstrate strategic thinking to help achieve organization goals
• Strong analytical and problem solving skills
• High level attention to detail, proven accuracy and thoroughness of tasks and projects.
• Strong organization and time management skills
• Highly motivated with the desire to provide exceptional quality of work
• Capable of working independently and alongside a team in a fast-paced environment, supporting senior leadership
• Effectively navigate and manage complex and time-sensitive/urgent situations

Qualifications:
• Minimum 5 years senior executive-level administrative support
• Intermediate/Advanced in Microsoft Office Suite (Outlook, PowerPoint, Word, Excel)
• Intermediate/Advanced technical skills with: desktop/laptops, mobile phones, telephones, conferencing technology
• Finance background is an asset
• Post-secondary education in Business Administration or equivalent work experience
