Description

The BASF Shared Services Center Kuala Lumpur was established in 2005. Located in Kuala Lumpur, it has approximately 700 employees and provides functional services in the areas of Finance, Controlling, Information Services, Human Resources, Environment, Health & Safety, Procurement, and Import-Export Order Management to BASF companies and affiliates in 17 markets across Asia Pacific. BASF also has three other Shared Service Centers that cover Europe and the Americas, located in Berlin and Ludwigshafen, Germany, and Montevideo, Uruguay.

Objectives of the Position

Why does this position exist?  With what permanent objectives?

The Asia Pacific Trading Center (APTC) creates a focal point to connect suppliers all around the globe to all Asian countries. It handles intra-company purchase orders and hence acts as a virtual trading organization providing a high degree of control over import / export supply chain activities for regional business units. With the increase in Merchandise Business in Asia Pacific, APTC will provide a new insourced service of preparing trade documentation for Letter of Credit (LC), Document against Payment (DP), Document against Acceptance (DA) payment terms subject to business requirements. The Officer, Trade Documentation, will execute the process with a consistent high level of service to be able to meet the growing needs of the businesses in Asia Pacific.

Main Tasks

(Operations and Performance):

·  Check and provide the full and accurate required shipping documents for bank negotiation including Invoice, Packing List, Bill of Lading, Certificate of Analysis, Certificate of Origin, etc
·  Minimize risk in documentary trade by ensuring proper review and execution of Letters of Credit
·  Timely and accurate execution of work
·  Ensure adherence to guidelines and compliance
·  Support documents for internal and external audit purpose
·  Communicate effectively with internal and external stakeholders for queries and issues, and collaborate towards resolution
·  Identify risk related to the process and propose mitigations
·  Register and follow-up with relevant non-conformances in the NCM system

Requirements

Education

·  Bachelor degree or High Diploma preferably in Business or Supply Chain Management

Working Experience

·  2-4 years relevant experience in Trade Document Management or Supply Chain Management, including hands-on experience in shipping document handling

Technical & Professional Knowledge

·  Good understanding of Trade Finance related rules & guidelines e.g. UCP rules, ISBP rules. Good communication skills and teamwork
