DESCRIPTION

We are looking for an exceptionally bright, well organized and self-motivated Executive Assistant to join the AWS Europe, Middle-East and Africa (EMEA) Public Policy Team. This role will report to the AWS EMEA Public Policy Director, and in addition will support two Directors within his team. The position is based in the Brussels, in the Amazon’s office.

The Directors reside in different locations across EMEA and this position will require superior attention to detail, great organization and prioritization skills, the ability to plan ahead and meet tight deadlines, all while juggling multiple critical requests. A high level of integrity and discretion in handling confidential information and professionalism in dealing with leaders and the ability to earn trust are important. The Executive Assistant will act as a seamless extension of the AWS EMEA Director and will work closely with other Executive Assistants throughout the organization. The candidate will be comfortable in a fast-paced, goal-focused environment, while maintaining great flexibility, a sense of humor and composure.

The most successful candidate will have strong verbal and written communication skills and possess the ability to complete complex tasks and projects with minimal guidance. They should react with the appropriate urgency to situations that require quick turnaround, and take positive action without having to know the total picture while maintaining the confidence to ask for guidance when necessary.

Key Responsibilities include:
Heavy scheduling and management of calendars in several time zones
Organize and manage extensive domestic and international travel
Manage expense report coordination and submission
Communicate effectively with virtual team (1 Director in Brussels, 1 Director in UK & 1 Director in Dubai)
Organize, execute and assist with team activities, including all-hands meetings and social events
Support the broader EMEA Public Policy team through budgeting and PO management
Track and help drive completion of key actions and follow-up on outstanding items
Work closely with the leadership team to provide support to the organization

PREFERRED QUALIFICATIONS

Excellent organization, planning, time management and problem-solving
Ability to handle administrative details independently, while keeping team members informed
Strong organizational/communication skills, bilingual in European languages primarily English/French
Ability to build effective working relationships and earn trust
University Degree

BASIC QUALIFICATIONS

3+ years' of experience assisting at the executive level
Management of complex calendars and scheduling with diplomacy and discretion
Experience with planning extensive international travel
Proficiency in Microsoft Outlook, Microsoft Word, and Excel
One or more years' of experience with internal and/or external event management and planning
