Job Description

Provide administrative support to the Head of CF R NAM and team, assisting in daily office needs and managing the team's general administrative activities.

Responsibilities

·  Provide executive-level administrative support
·  Process highly confidential and critical information.
·  Review and update assigned calendars, including creating, accepting or declining appointments, and identifying/resolving scheduling conflicts
·  Coordinate travel arrangements and process travel expenses (domestic and international) for manager and team
·  Plan, prepare, and organize all offsite and quarterly staff meetings/team events
·  Complete miscellaneous tasks and projects as assigned and communicates status in the format agreed upon by manager
·  Organize meetings, reserve conference rooms and equipment, and coordinating catering service.
·  Liason for various monthly meetings. Responsible for preparation, assembly and distribution of the meeting materials, meetings minutes and action items
·  Partners and collaborate with applicable departments and other administrative staff to support department initiatives, meetings or projects
·  Complete assigned processing and documentation of reports using knowledge of applicable systems and support resources.
·  Point of contact for all documents requiring signature
·  Serves as a point of contact for all internal and external customers
·  Create all Purchase Requisitions/Purchase Orders for the department
·  Support Cash and Banking Team with daily cash sheets and other activities, as needed
·  Point of contact for property management, as necessary
·  Procures Supplies
·  Ricoh copier management
·  Maintaining filing systems, preparing and sorting mail, and pick up and distribute of information.
·  FedEx shipments
·  Provide general support to team with MS Office suite applications / tips & tricks
·  Interface with IT department (procure laptops, iPhones, contact helpdesk for connectivity issues, etc.)

Required Skills

·  Ability to thrive in a fast paced, changing environment with multiple priorities.
·  Outstanding work ethic, professional attitude & strong communication skills (verbal/written).
·  Senior knowledge in Microsoft Office programs, calendar management and expense reporting.
·  Strong Excel, Power Point and Outlook skills.
·  Highly organized and detail oriented with ability to interface with personnel at all levels.
·  Ability to perform with only general instruction on new assignments and with minimal direction

Preferred Knowledge/Skills, Education, and Experience

·  5+ years of administrative support experience at the senior or executive support level.
