Operations Assistant Primary Care

Key responsibilities includes:
Following up of approvals related to BUs' Activities/Events
· Preparing documentation and monitoring project approval flow
· Contacts with vendors (collection of offers- catering, airfare, branding...)
· collecting all info needed for financial elements
· other supporting ad hoc tasks (i.e. other supporting documentation collection)
· providing support during Due diligence performance
· Archiving of supporting documentation
Preparing simple agreements related to BUs' Activities/Events
· Simple Contract Lecture/Training agreements and other agreements with HCPs
· Preparation of Invitation letters/Hospitality agreements
· Maintaining contract database
Organizing logistics related to BUs' Activities/Events
· Organization and coordination of all team meetings (Cycle meetings, Kick off meetings, other team meetings etc.)
· Organization of accommodation, airfare, transfers, meals etc. for HCPs attending local/international congresses; ICD contact
Promotional spend Tracking and reporting:
· regularly track and report promo costs (PAF, invoices, contracts, travel expenses…), regularly maintain transparency share folder, accruals preparation
Archiving of documentation related to Promotional Materials
· Maintain the list of approved Promo Materials per year
· Distribution of promo material (including related paper work - entry notes/delivery notes)
· Regular inventory check-ups (2x per year or yearly or else)
Donations & Other Contributions:
· support in collecting documentation from Requestors; filling in related forms; collecting signatures
About You
In this role you will need to have:
Essential requirements:
· Stable location: in Ljubljana or in Sarajevo
· Bachelor's degree in Health studies/ Business Administration or relevant working experience
· 2-3 years of professional experience in similar position in Pharma is an advantage
· Excellent office organizational and filing skills
· Fluent in English language
· Fluent local language
· Very good PC skills
