Job description



·  Job facts

The main purpose of the Receptionist is to receive and direct callers,visitors and employees in a way that helps maintain or develop an image of professionalism and efficiency.In addition, you will complete various functions to support the customer experience while maintaining office security and safety.

Responsibilities:

Guest Services:

·  Provides efficient and courteous reception services to visitors and employees.
·  Monitor reception electronic tool (PRISM) for pre-registration of guests and group meetings.
·  Provide and maintain all visitor access cards.
·  Ensure data profiles and cards are current, review permanent and temporary listings, delete old profiles.
·  Ensure inventory is maintained for field, vendor and emergency access cards.
·  Maintain communications with onsite SHE/GWL Security personnel to maintain high level of security.
·  Arrange for transportation services as required
·  Handle confidential information in an appropriate manner.

Telephone Systems:

·  Attends to incoming telephone calls and determine how to assist callers (i.e. providing information directly or directing call to another party).
·  Maintain employee listing/database including location, AWE cabinets and changes.
·  Collaborate with IT related to any phone system technical support for Reception Maintain Auto-attendant call flow programming.

Department Support:

·  Maintain Reception SOPs and ensure any changes are communicated to team members.
·  Communication with team daily on any Reception matters.
·  Take Minutes for monthly reception team meetings.
·  Order supplies, reconcile invoices for vendors including charge back forms (transportation, facilities, etc).
·  Provide Corporate Services with assistance on small assembly projects, filing, events and other tasks as requested

Qualifications:

·  High school diploma or an equivalent Strong English and French language skills.
·  Experience with Reception /Switchboard / Phone Systems
·  Confidence to handle emergency and/or security scenarios directed to Reception
·  Ability to support multiple customer requests simultaneously.
·  Strong Computer Skills (Microsoft Office)
·  Attention to detail and ensure accuracy of work
·  Independent thinking and ability to problem-solve
·  Clear Communicator
·  Ability to be flexible with scope of work
·  Work closely with team members and support each other through shared tasks
·  Proactive participate within the team
