Roche Cote D'Ivorie is looking for an Executive Assistant reporting to the General Manager. The Executive Assistant will be responsible to provides support to GM in his daily tasks. He/She will serve as the primary point of contact for internal and external stakeholders on matters pertaining the office of the GM.

The Ideal Candidate

The Executive Assistant must be a forward-thinking and proactive individual who enjoys working in a fast-paced, mission and results driven environment. He/She must have the ability to exercise good judgment in a variety of situations and to maintain a realistic balance among multiple priorities. Importantly they must have strong written and verbal communication skills (in English and French), as well as excellent administrative and organizational skills.

The ideal candidate must have at least 6-8 years' experience of which 5 years' must have been spent within an executive level PA role in a multinational organization.

Key responsibilities

Dairy & Calendar Management

·  Proactively manage the GM diary and calendar
·  Assist to maximize time productivity, such as advising him on upcoming commitments, prioritization, managing regular changes and dealing professionally with competing meeting requirements.

Travel Arrangements

·  Organize and manage international and national travel arrangements, hotel bookings/accommodation and visa requirements for GM and incoming visitors.

Secretarial Duties

·  General secretarial & ad hoc project support for the leadership team as required.
·  Managing the GM's filling systems, mailing list and contacts database, taking telephone messages and dealing appropriately with incoming and outgoing correspondences/ matters.

Administration & Events Management

·  Prioritize conflicting needs proactively and follow through on projects to successful completion often with deadline pressures.
·  Organize coordinate conference, workshops & functions events e.g. booking venues, transportation, compiling and sharing agenda's.
·  Preparing monthly reports, presentations, letters and meeting agenda.
·  Manage staff communication for general announcement e.g. public holidays, office closure, visitors etc.
·  Manage accommodation, expert housing and immigrations i.e. work permit, visa, special passes and dependant pass processing.
·  Maintain discretion and confidentiality in relationships with all stakeholders.

Education qualification

University Degree in Business Administration or any related field.

Fluent French and English
