The PD Safety Risk Management Administrative Professional provides support to managers and staff of Basel Safety Risk Management (PDS) in diverse administrative tasks by anticipating and fulfilling their needs in a proactive, well-organized and customer-oriented manner and contributes to the smooth and efficient administrative processes of the department.

As an Administrative Professional in PD Safety Risk Management (PDS) your main tasks will include:

·  Provide administrative support in diverse tasks to PDS and its sub-function's managers and members in a well-organized, customer-oriented manner and act as a contact person for the sub-function
·  Calendar management and co-ordination of global F2F meetings
·  Responsible for logistics and organization of local and global meetings, video-conferences, departmental events, training, and coordination of these activities
·  Support managers in setting up and coordinating interviews on the site and global levels and support the induction processes
·  Welcome and support visitors
·  Support managers in contract processes, ORF's, set up and maintain purchase orders in partnering with Procurement Group, placing accruals, maintaining PO list.
·  Support PDS members in booking business trips and processing travel expenses (via Concur)
·  Support in the coordination, supervision, and completion of special projects
·  Participating member of project teams (e.g. DSC support, PDS LT, building team etc.)
·  Attend administrative meetings and take minutes
·  Responsible for the onboarding of PDS newcomers in liaison with PDS Capability Development, IT and facility management
·  Responsible for accurately capturing and maintaining departmental records, documents and information stored in the different systems and platform (e.g. Workday, PharmaRes, IDM) in accordance with the PD guidelines
·  Organize printing and scanning orders with print services
·  Enhances professional growth and development through participation in educational programs, learning sessions and workshops
·  Draft and post PD Connect and announcements, G+ communities
·  Super user and/or Subject Matter Expert (SME) for specific tools/programs

J ob required Competencies:

·  Business qualification (e.g. commercial degree) or a University degree (BA)
·  Experience as an administrative assistant
·  Self-motivated and focused, able to multitask and meet timelines efficiently and productively
·  An enthusiastic, flexible and customer- / service oriented person who enjoys working in a team
·  Excellent coordination and organizational skills
·  Good knowledge in MS office, Google Mail, Google Calendar and Google Drive
·  Fluent spoken and written English (German is a plus)
·  Autonomous, discreet, flexible, proactive and a good team Player, strong communication and organizational skills, ability to efficiently work with complex cross-functional groups, adaptability in a fast changing working Environment
·  Maintain high working standard with good motivation
·  Ability to prioritize and handle diversified tasks, ability and experience in working independently as well as ability to handle confidential and personnel information with integrity and total discretion
·  Reliable and task follow-up with self-initiative,attention to detail and accuracy,flexibility.Good working attitude and motivation, good team player with interpersonal skills
