The Opportunity

This is an exciting time to join Roche Diagnostics Baltics team in Riga. If you are passionate about helping others then this is the position for you!

We are looking for an Administrative assistant (temporary contract) to organize and coordinate administration duties and office procedures. Being part of the HR & Administrative support team, your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety. Ultimately, as Office manager you should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation.

• Responsible for administrative support to Country Manager in the overall management of the Affiliate.
• Assumes the front-office duties: handling incoming calls and correspondence, hosting visitors.
• Assists Healthcare Transformation & Development department in organization of events and preparation of materials.
• Assist in the onboarding process for new hires
• Takes care of the office maintenance and repair
• Manages ongoing and specific facility-related projects from inception to completion
• Responsible for the internal communication, document management and in-house or off-site activities for the team
• Manages office supplies while ensuring proper accountability for all supplies
• Liaise with facility management vendors, including cleaning, catering and security services
• Ensures proper management of staff welfare
• Scheduling meeting, appointments, internal events and business related travels.
• Establishes, maintains, and manages the contacts & relationship with office suppliers and contractors.
• Supervises the compliance of employees with Corporate and local processes.
• Serves as a primary Affiliate contact for Safety Board matters and Regulatory Affairs.

Who you are

• You have Higher education in Business administration, Economics or other.
• Proven experience as an Office manager, Front office manager or Administrative assistant
• High-level computer literacy (MS Office and accounting systems).
• Effective communication, problem solving, time management and multitasking skills.
• Attention to detail and problem solving skills
• Excellent written and verbal communication skills
• Fluent in Latvian and English
