dunhill – Part Time Project Assistant

(12 month Fixed Term Contract – 2/3 days per week)

 

HOW WILL YOU MAKE AN IMPACT?

Alfred Dunhill is a luxury men’s retail. With points of sale in key cities around the world, in free standing locations, malls, department stores and duty free. The store planning team need a project assistant to join an exciting and busy team and help in the delivery and execution of these locations.

 

This role will report to the WR, EMEA and USA Project Manager and the Head of Store Planning to assist in the delivery of the locations in the pipeline in a timely and efficient manner, keeping track of timings, orders, budgets and all milestones to ensure deadlines are meet.

 

·  Maintain Global planning calendars and timelines
·  Be responsible for producing cost estimates for projects
·  Track and monitor costs and maintain budget files
·  Work alongside the Project Manager to ensure projects are completed on time and on budget
·  Support the Project Manager in ensuring that project admin is fully auditable and up to date
·  Collate weekly updates from the project teams regarding the status of all projects and update the planning calendars
·  Responsible for the maintenance of each individual project’s filing system (including all quotations/drawing issues/construction documentation and procurement schedules) for the WR, EMEA and USA.
·  Be responsible for producing all project related Purchase Orders, and create a tracking list for WR, EMEA and USA.
·  Ensure communication is relevant and streamlined to regional and corporate needs at all times
·  Track invoices, submit for processing and manage filing/live tracker. Track payment dates.
·  Work with the WR, EMEA AND USA Project manager on schedules for each project, maintain vendor details, pricing, timelines and delivery schedules
·  Create and provide responsibility matrix for projects and ensure all individuals are aware of responsibilities
·  Responsible for the set-up of all new vendors
·  Procure all direct items on each project (excluding Consultants, GC and Millwork tenders) adhering to key milestone dates and flagging any risks
·  Oversee the logistics for each direct order and safe delivery to site

 

 

HOW WILL YOU EXPERIENCE SUCCESS WITH US?

·  Exceptional eye for detail 
·  Strong administrative skills
·  A very good understanding of process
·  Comfortable with costs and budget tracking
·  Experience working to deadlines and within strict budgets
·  A skilled problem solver adept at finding solutions
·  IT literate; notably Microsoft packages, Excel and Word and ideally SAP finance
·  A strong communicator; both written and verbal; a skilled negotiator
·  Highly organised and action oriented
·  Comfortable with ambiguity and change
·  Customer focused
·  Ideally architectural project assistant experience
·  3 years’ experience in a premium retail environment would be an advantage
