dunhill are currently looking for a Post Room Operative to join their Office Services team based in North Audley Street.

 

Purpose

 

To provide an efficient and professional service for the centralised Post Room, ensuring that all incoming and outgoing mail and courier packages are processed quickly and accurately.  To efficiently manage the stationery needs of Mandeville Place on a day to day basis and provide an allocated amount of administrative and key holder support to the Facilities Team.

 

Key Accountabilities

 

Post:

·  Ensure all parcels that are received, are logged and the recipient informed of the packages arrival, in a timely manner
·  Ensure external and internal post to other sites is logged and placed in the relevant pouches / tins ready for distribution on the allocated day/s
·  Ensure all consumables and postal money is available on the franking machine and arrange for maintenance for the machine if necessary
·  Ensure high security of Post Room, valuables must be securely locked away
·  Training employees on Post Room policies and procedures.  Responding to any questions and queries relating to the Post Room
·  Working alongside Line Manager to propose and implement Post Room initiatives that continuously improve efficiency and cost savings

Couriers:

·  Liaise with couriers to make bookings
·  Request P.O.D’s
·  Take calls from couriers to gain additional information from senders
·  Record all incoming packages and log signatures for a minimum of 6 months
·  Notify recipients by email using a template to inform them a package has arrived

Stationery:

·  Stock management of key stationery items for use across the business
·  Sign for and check stationery deliveries
·  Monitor printing paper levels on each floor on a regular basis and ensure that stock is ordered in a timely manner

Administrative Tasks:

·  Manage yearly PO raised by Line Manager in conjunction with stationery and ensure Line Manager is given relevant paperwork to match PO amounts
·  Adhere to current Health & Safety Legislation and best practice and maintaining a safe working environment within the Post Room

Customer Service:

·  Must maintain a customer orientated approach at all times
·  Deal with all internal and external customers in a professional and courteous manner
·  Deal with all queries and use initiative to solve problems
·  Give advice to internal customers on courier and post services particularly in relation to costs and delivery options
·  Have a good geographical knowledge in order to make efficient use of courier services and advise on country and region specific courier issues
·  In conjunction with the Office Services staff, carry out any ad hoc tasks as and when requested by the Indirect Procurement & Office Services Manager or other senior staff

Other Duties:

·  To support the Showroom Team with Postroom type activities

 

Ideal Profile

 

·  Previous experience within a supportive or operational role
·  Basic knowledge of Word, Excel & email applications – Outlook or Notes
·  Strong communication and interpersonal skills
·  Organised individual with an attention to detail
·  Ability to build excellent relationships with multiple teams/departments
·  Proactive nature and natural sense of discipline
·  Ability to work individually or part of a team
