JOB SUMMARY

Assist and support Johannesburg Regional Office management and the leadership team with handling and resolving Human Resources issues. Assist employees with internal and external transfer requests and procedures. Monitor and assist managers/supervisors with hiring processes and issues. Maintain applicant flow, orientation and transfer request logs. Create and maintain new hire and personnel files and enter them into Human Resources Information Systems. Assist with orientation of new employees. Monitor all hiring and recruitment processes for compliance with all local, state, and federal laws and company policies and standards. Ensure accurate maintenance of all employee records and files (e.g. Interview documents). Support processing and maintenance of payroll records in accordance with policies and procedures, as necessary. Inform Human Resources management of issues related to employee relations within a department. Create and maintain filing systems. Generate Human Resources data reports as necessary. Serve as Human Resources subject matter expert and participate on project teams. Train new hires on Human Resources processes, programs, policies, information systems, etc.

Position also acts as the "Supervisor" for the Regional Office and works with the office services associates to ensure that the office daily operation runs smoothly including, reception, meetings, stationery, food & beverage requirements, car parking and health & safety requirements.

Follow all company policies and procedures; maintain confidentiality of proprietary information. Speak with others using clear and professional language; prepare and review written documents accurately and completely; answer telephones using appropriate etiquette. Develop and maintain positive working relationships with others; support team to reach common goals; listen and respond appropriately to the concerns of other employees. Perform other reasonable job duties as requested by Supervisors.

CANDIDATE PROFILE

Education and Experience:

·  Bachelor's degree or National Diploma is a prerequisite.
·  At least 1 year of related work experience.
· 
Previous experience within a hotel HR as a Co-Coordinator / Administrator / Generalist and ideally in Marriott is essential

· 
Ideally hands on working knowledge of Marriott HR Systems and Processes including PeopleSoft HRMS, myHR, Global Posting System i-grasp, ES Reporting System (including EID set-up, GRS requisitions, PS HRMS recruitment), HR & Payroll systems knowledge, handling labour turnover and other similar HR reports; Available approved surveys, etc.

Advanced working knowledge of MS Excel, MS Word and MS PowerPoint (including spreadsheet creation and validation) essential.

· 
Must have excellent spoken and written business English language comprehension and accurate speed typing with excellent spelling and grammar.

· 
Monitor all hiring and recruitment processes for compliance with all local, state, and federal laws and company policies and standards.

Hiring - Applications

· 
Assist employees with internal and external transfer requests and procedures.

Hiring - Prescreen and Interviewing

·

Conduct interviews in conjunction with the hiring manager.

Hiring – Offers

· 
Communicate to all applicants receiving a job offer the necessary documentation required to bring on first day of employment.

Hiring - New Employees

·  Assist with orientation of new employees.

Train new hires on Human Resources processes, programs, policies, information systems, etc.

Compensation

· 
Support processing and maintenance of payroll records in accordance with policies and procedures, as necessary.

Administration

· 
Maintain confidentiality and security of employee and property records, files, and information.

· 
Ensure accurate maintenance of all employee records and files (e.g., interview documents, reference checks, Drug Free Workplace Policy (DFWP), applicant self-identification forms, department orientation check list).

·  Answer phone calls and record messages.
· 
Create and type office correspondence using computer.

·  Create and maintain filing systems.
· 
Generate Human Resources data reports as required or as requested.

· 
Serve as Human Resources subject matter expert and participate on project teams.

Communications and Relations

· 
Respond to questions, requests, and concerns from employees and management regarding company and Human Resources programs, policies and guidelines.

· 
Inform Human Resources management of issues related to employee relations within a Department.

· 
Post all necessary legal or regulatory notices related to Human Resources in view of all employees as required by law.

· 
Assist and support management and the leadership team with handling and resolving Human Resources issues.

· 
Communicates associate relations initiatives to the office where appropriate and collaborates with the Associate Committee e.g. Take Care AAW etc.

·  Drive LPA for regional office.
·  Responsible for the AES for regional office.
· 
Report on survey completion to Senior Management.

· 
Ensures that all AES reports are shared with Senior Management and HOD's each year when it becomes available.

· 
Facilitates breakout sessions with department and provide feedback to HODs and follow up meetings with action plans.

· 
Ensure that departmental action plans are loaded each year.

Prepare and review written documents (e.g., daily logs, business letters, memoranda, reports), including proofreading and editing written information to ensure accuracy and completeness.
