Job Description

How you will Contribute

You perform any task within AP Process.

Day to day responsibilities are:

·  Manage incoming invoices:

    - Receive mails, classify and allocate to the team

    - Reconcile invoice data, check invoice consistency and send back to supplier if not correct

    - Follow up approval workflow

    - Key invoices (with or without purchase order) in the system

    - Contact other departments to solve discrepancies and complete the invoice

    - Manage vendor credit memos

·  Manage staff expenses:

    - Check invoices consistency and reconcile with payment application

    - Follow up approval workflow

    - Contact other departments to solve discrepancies

·  Key staff expenses in the system and answer queries from employees
·  Ensure staff policy application
·  Review of employees’ accounts
·  Collect and update vendor and employees bank details
·  Posts advanced payments
·  Manage payments:

    - Launch payment proposal

    - Print and send preparatory list of payments for approval

    - Proceed payment in the system (e banking)

    - Send payment advice to supplier

    - Answer to vendor inquiries regarding status of payment

    - Manage errors in payment, follow supplier refund

    - Control prepayment

·  Collect and update vendor and employees bank details

Who you are

Experience, business and technical skills:

• Approx. 3 years + of experience in a similar position

• Recognized professional qualification in accountancy

• Experience from prior work in an accounting department

• General knowledge of processes within Finance Function

• Good understanding of the Payable function

• Process knowledge associated with an ERP-application (AP module)

• Knowledge of Japanese accounting rules

• Good English skills would be appreciate

• Good organization and analytical skills

• Proactive

• Flexible to new ideas and ways of accomplishing tasks

• Rigorous & responsiveness

• Team player

• Result / Customer oriented
