Workplace Experience Assistant / Receptionist

Integrated Facilities Management

What this job involves:

The Workplace Experience Assistant/Receptionist is the “face” and the key person to create an extra-ordinary First Moment of Truth for the Guests & Employees. It is a Front of House role and she must be well spoken and possess a warm & pleasant disposition.

·  Responsible for good grooming:
·  Uniform to be worn neatly
·  Hairdo and make-up according to company standards
·  Uniform Suits to be cleaned & pressed regularly
·  Black covered shoes (high heels during VIP visits) to be worn.

Responsible for Maintenance of the Reception area.

·  Ensure cleanliness & tidiness at the Reception area & behind the counter

Responsible for Guest Engagement Management:

·  Create a “Wow” moment for all Guests & Employees on their arrival
·  Orchestrate a good first impression and a welcoming First Moment of Truth.
·  Building good relationships with all Employees and Guests (always address Guests by their last names, unless corrected.).

Responsible for the delivery of:

·  All calls MUST be answered with a standard greeting:”
·  Work / communicate closely with Lobby Ambassador via skype/email/walkie.
·  Identify and receive guests and connect them to the correct hosts.
·  Update hosts upon guest arrival on L21.
·  Receiving Guests in a warm & friendly manner, with greetings
·  When Hosts arrive at the Reception, greet them & show them to their guests
·  Upon acknowledgement of the Host, exchange the QR Code with the Red Guest Office Badge
·  When Guest/s return to Reception at the end of their meetings, exchange their Red Guest Office Badge with the QR Code according to the same # and thank them for visiting P&G, with greetings
·  Control the entrance door using the remote
·  Respond to Lync messages (IM) from Employees immediately
·  Reply to emails within 30mins.
·  Ensure no loitering, tailgating and hosts must always escort their guests at all times.
·  Reception is required to redirect couriers to L18 mailroom
·  Follow up on any pendings.
·  Assist on Lost and Found items.
·  Maintaining comprehensive and accurate knowledge of amenities, office vicinity and general information of the building and other Facilities services.
·  All other ad-hoc duties, e.g.  Laminating service, etc.
·  Receptionist is required to assist Helpdesk whenever necessary
·  Receptionist is required to provide coverage at L1 during Lobby Ambassador’s lunch break, leave, and when necessary.

Qualification and Requirements:

·  Min. GCE ‘O’ Level or equivalent
·  Excellent command of English
·  Well-versed in MS Office Suite

Preferred Skills:

·  Min 2 years experience in an MNC/Hospitality/FM industry.
·  Resourceful, able to multi-task, self-motivated, pro-active
·  Service-oriented and strives to provide excellent employee experience
·  Good phone Etiquette
·  Genuine Smile, Good Body Language, Positive Attitude.
