Job description



Roles & Responsibilities:

·  Greet visitors
·  Ensure building specific access processes and policies are enforced
·  Answer incoming phone calls, transfer as appropriate
·  Respond to inquiries from internal and external customers regarding such information as- locations of offices/rooms, local services and amenities
·  Follow safety and security protocol at all times, working closely with security staff
·  Assist employees with conference room reservations
·  Order and restock kitchen office supplies when inventory is low
·  Make coffee each morning and clean up at end of day
·  Receive incoming accountable deliveries (e.g., Fed Ex, UPS etc.). Facilitate the distribution to the proper department, locations and customers
·  Perform various administrative projects as requested, including, but not limited to- mail retrieval and distribution, data entry, organizational charts, inventory and office supply orders, expense reports, travel arrangements & other related office support duties
·  Act as ambassador for the workplace, using appropriate etiquette and professionalism at all times
·  Resolve problems associated with all building services including: janitorial, mailroom, copier services, parking, badging, and conference rooms.
·  Schedule Meetings and assist with team events
·  Assist with tracking employee on-boarding/off-boarding processes.
·  Assists with the coordination and scheduling of office/building maintenance activities
·  Maintain the front desk and lobby areas as well as all kitchen area’s in a neat and organized manner, in compliance with all governing codes and regulations
·  Arrange for local taxi service and courier pick-ups, as requested
·  Support team in other administrative duties

Qualifications- Knowledge, Skills, Abilities

·  Demonstrated proficiency with all applicable software packages, including, but not limited to- MS Windows and MS Office, including MS Word, Excel, Outlook and PowerPoint.
·  Ability to communicate effectively with employees and visitors as necessary
·  Ability to organize and prioritize multiple tasks
·  Must be positive and professional
·  Must be detail oriented
