Office Assistant, Capital Markets

The Office Assistant’s primary goal is to help ensure that the office functions efficiently. The perfect candidate will present a friendly and approachable demeanor while interacting with team members, visitors, and vendors. He or she will also be highly organized, self-motivated, and detail- oriented in all aspects of the role. The Office Assistant will function as a part of the support team and work closely with the Office Manager. This is an entry level role with the opportunity for growth.

Main Responsibilities

·  Provide reception coverage and welcome all visitors into office.
·  Backup for Office Manager.
·  Provide general administrative assistance for the office.
·  Responsible for ordering office supplies.
·  Pick up mail and distribute to office.
·  Assist with weekly check requests and/or routine Accounting support.
·  Maintain cleanliness in all common areas and keep them well stocked with supplies.
·  Assist with building maintenance requests/issues and outside vendors.
·  Maintain multiple calendars and schedule meetings.
·  Maintain conference room schedule free of conflict.
·  Assist with organizing and executing internal and external company events.

Experience Required

·  1 year of previous administrative experience preferred.
·  Excellent communication, organizational, grammatical, and time-management skills.
·  Ability to multitask and effectively prioritize work requests.
·  Ability to be an independent worker with a team player attitude.
·  Ability to work in fast-paced, team-oriented environment.

Education

College degree preferred

Computer Skills

Intermediate working knowledge of Outlook, Word, Excel, and PowerPoint

Environment

Office – work with computers, copiers, and scanners
