Office Assistant

Job Summary

The Office Assistant’s primary goal is to welcome all visitors and staff with a friendly, professional and positive demeanor and to ensure the office functions efficiently. The perfect candidate will present an approachable and professional demeanor while interacting with visitors and team members alike. He or she will be highly organized, self-motivated and detail oriented in all aspects of the role. The Office Assistant will function as a part of the support team and work closely with the Office Manager. This is an entry level role with the opportunity for growth.

Main Responsibilities

·  Greet and welcome all visitors with a friendly demeanor.
·  Manage meeting rooms and conference spaces, ensure schedules are free of conflict.
·  Maintain multiple calendars, schedule meetings, send and manage outlook invitations.
·  Maintain cleanliness in all common areas and keep them well stocked with supplies.
·  Provide general administrative assistance to all team members.
·  Assist producers and production associates with database management and research.
·  Maintain office equipment, supplies and inventory.
·  Pick up and distribute mail to office.
·  Process expenses, invoices and other accounting tasks.
·  Assist with building maintenance requests/issues and vendors.
·  Assist with organizing and scheduling company events.
·  Assist with printing, scanning and binding of various office materials.
·  Possess the initiative to take on special projects and anticipate needs.

Experience Required

·  1 year of previous administrative experience.
·  Excellent communication, organizational, grammatical and time management skills.
·  Ability to multitask and effectively prioritize requests.
·  Ability to be independent and dependable with a positive attitude.
·  Ability to work in fast paced, team-oriented environment.

Education

·  High school graduate required, 2 years college preferred.

Computer Skills

·  Intermediate working knowledge of Outlook, Word, Excel and PowerPoint.
·  Experience with Concur, Salesforce and/or InDesign is a plus.
