Occupancy Planning Analyst

We are seeking an Occupancy Planning Analyst to join and help our team successfully manage client move request activity; gather and evaluate business information, occupancy, and real estate market data; provide support for presentations and requests for strategy recommendation, as well as real estate reporting for our clients.

As an Occupancy Planning Analyst, you will have exposure to the foundational elements of the breadth of our Workplace & Occupancy Planning services.  You will build familiarity with demand planning, understand supply and capacity, and how forecasted changes could be accommodated.  You will be a key member of the team that develops departmental and site space plans and get visibility to client deliverables driving key initiatives for the client.

You’re starting to build knowledge in Corporate Real Estate - pulling plans from space data management systems, understanding the components of developing space solutions, and analyzing space and utilization data. You will provide key data points for presentations and outline pros & cons between options.  You will understand the basics of space allocation and potentially charge-back reporting.

Job Responsibilities:

We are looking for a junior level OP Analyst for a dedicated role in the Real Estate strategy team at the client site. The Occupancy Planning Analyst is a junior level role supporting the client Workplace Planning team with maintaining building level re-stack headcount data planning, as well as mapping campus-wide migration plans at the site, group, and headcount level.

·  Assisting in the Real Estate strategy migration plan (supply and demand headcount forecasting at the business group level).
·  Producing reports and visual outputs that highlight key areas for review and action by the Workplace Planning team.
·  Working closely with the Workplace Planning Managers and Space Planners on space data integrity and move activity alignment across the real estate portfolio.
·  Supporting the process development to track team moves across the Bay Area real estate portfolio at the building level detail- identifying potential move conflicts at the sub-team level.
·  Collecting information from various data sources, such as headcount data, existing seat and future seat capacity, to build a comprehensive view of current re-stacking plans.
·  Participating in the development and integration of data tracking tools to improve efficiency.

To be successful in this role, you should be able to ensure accurate reporting of information, and foster critical relationships between various individuals and organizations. Communication channels will exist with:

·  Department managers and/or administrative assistants to collect seating assignments;
·  Move coordination and facility management teams to review and approve moves, develop migration plans and conduct facility audits;
·  Other members of the occupancy planning team to resolve campus/building-specific forecasts, needs, concerns, and issues.

Requirements :

·  A Bachelor's Degree in Real Estate, Finance, Accounting or related field is required
·  2 – 4 years of experience in corporate environment
·  Previous experience in space/occupancy planning at a strategic level, plus experience with interior office renovations is highly desirable
·  CAFM system experience also highly desirable
· 
Advanced Excel skills including: index/match, lookups, Charts, Pivot Tables, VBA (preferred), etc.

Familiarity of Google sheets (preferred)

Basic knowledge of Tableau (preferred)

· 
Basic knowledge of SQL

· 
The ability to create graphical representation and visual analytics

You’ll need to be dynamic and technologically savvy and utilize software to support planning solutions and communicate ideas clearly with planning team and lines of business. You will be successful if you have advanced skills in Microsoft Excel to slice, dice, and filter large data sets. Proficiency in Microsoft Office suite and ability to consolidate data and floor plans into Power Point for presentations to client and lines of business is highly valued. You’ll be effective in your role by learning to ask the right questions to understand the underlying needs of our clients. You’ll discover how to be proactive and innovative with solutions for your stakeholders. 

Excellent communication skills are important – both written and spoken – and we’ll expect you to work independently, multi-task, and manage your time to meet deadlines. You keep on top of things as you’ll often need to reorganize your time day to day, to deal with your team’s changing necessities and requests. An individual with strong interpersonal skills with an ability to interact with executive level external and internal clients will be successful in the role.
