Title: Professional - Lease Administration

POSITION GOALS

·  Assist Client's regional real estate team

·  Assist with rental management

·  Assist with setup of new leased and owned property documentation

KEY CONTACTS

·  Jones Lang LaSalle (JLL):  Regional offices of JLL, including local transaction managers, for lease and local market practice information.  Singapore-based lease administration team, for lease and rent management.

·  Client: Client real estate team based in Bangalore office, as required.

DUTIES & RESPONSIBILITIES

·  A high degree of independence is required on a day to day basis;

·  This position will report to the Manager based on client site

·  Primary duties and responsibilities include the following:

·  Liaise with internal and external contacts when required;

·  Collect and review real estate documentation

·  Collect and verify invoices received from Landlords and other vendors for rent processing;

·  Ensuring that all real estate data is kept current and accurate;

·  Maintain record of physical location for all lease agreements;

·  Co-ordinate abstraction of leases;

·  Track Rent Escalation and Termination Notices for client offices;

·  Develop a solid understanding of client’s lease administration database;

·  Monitor critical dates and follow up with client regional offices for information / feedback on critical dates;

·  Prepare and distribute ad-hoc reports;

·  Ensure that the agreed procedures and process flows are adhered to strictly in accordance with guidelines;

·  Ensure that KPI’s are met

·  Other required tasks may include:

Lease Admin Service Delivery

·  Oversee the lease admin service delivery to the client and act as single point of contact

·  Ensure that lease admin services are provided to the client according to agreed scope

·  Escalate to management any issues that arise out of lease admin service delivery

·  Provide lease admin training to Assistant Lease & Rental Administrator

Document Tracking, Abstracting and Portfolio Data Maintenance

·  Cross-check lease abstracts as well as file and data maintenance

Lease Data Audit

·  Perform yearly audit of lease data,

·  Provide audit report and action items based on audit results

Lease Reporting

·  Provide monthly reporting as per agreed report schedule and distribution

·  Review reports for content and format, according to client requests.

Lease Rent Management

·  Oversee the lease rent management, include verification of all steps and files performed by Assistant Lease & Rental Administrator

·  Oversee the collection and maintenance of one-time lease rent approvals and payments based on executed agreements

·  Provide final rental advise / direct upload file as per Oracle requirement to Accounts Payable.

·  Ensure that all documentation and processes are followed for lease rent management

Best Practice Management:

·  Maintaining standard checklists, templates, work flows and documentation;

·  Suggest improvements in process;

·  Suggest improvements for account reporting;

·  Act as a mentor and providing training when required, for new team members.

EMPLOYEE SPECIFICATIONS

Essential Requirements:

·  University graduate (Accounting, Commerce, Finance or Real Estate background) and at least 3-5 years relevant work experience;

·  Strong attention to detail;

·  Excellent written and verbal communication skills;

·  Sound computer skills in Microsoft Word and Excel;

·  Strong organizational and interpersonal skills;

·  Positive approach to meeting client needs;

Ability to:

- Maintain and manage accurate data;

·  Priorities work within tight operational and financial deadlines.

Highly Desirable Requirements:

- Work experience in a corporate environment or with a third party service provider;

- The ability to understand and interpret commercial contracts (eg real estate leases);

·  Knowledge of accounting would be an advantage, however not essential;

·  Experience using a property management/lease administration system.
