Role Purpose

We currently have an exciting opportunity for a Global Facilities Administrator. Based in London the Global Facilities Executive is a key role reporting directly to the Senior Facilities Manager.  In this role you will be performing a variety of tasks including the implementation of all approved initiatives and programs, by managing and coordinating the efforts of the Facilities team (e.g. service providers, contractors, signing contracts, preparing commercial proposals etc) to achieve the goals.

You will be responsible for representing Jones Lang LaSalle in the local and regional businesses, IFM, and Real Estate community in order to promote Jones Lang LaSalle’s reputation and capabilities to prospective tenants and clients. You will have experience working in a dynamic and fast-paced environment with attention to detail, high sense of urgency and the drive to hold the team accountable for results.

What this job involves

·  Maintain role as primary contact for service requests generated by the client’s staff on the dedicated Corrigo system or via phone.
·  Manage the dedicated Corrigo system to ensure that tickets are completed within SLA and the system is updated to reflect status.
·  Assist with the management of vendors and contract management.
·  Onboarding of vendors.
·  First point of contact for landlord queries and escalations.
·  Manage the budget documentation/forecast and administer the works to ensure budget compliance for sites.  Ensure spending is as per quarterly/monthly forecast and oversees all accruals, re-classes, invoices, etc.
·  Manage of GRs and PO creation in JDE.
·  Assist with the implementation and roll out of processes and procedures.
·  Procure when needed supplies and equipment to manage the office.
·  Conduct site inspections (London) and compile inspection templates.
·  Ensure accurate and timely reporting of staff, equipment and systems’ malfunctions and near-misses in both Client’s and JLL’s reporting tools.
·  Drive adherence to environmental and health and compliance. Work with contractors to receive all necessary documents to ensure compliance.
·  Support portfolio wide initiatives.
·  Support with the creation of presentations and communications.
·  Assist with reception coverage in London (such as breaks and holidays)
·  Ability to cover for the Facilities Managers during periods of absence.
·  Ad-hoc tasks as required.

·  Languages: Must be fluent in English
