Job description



Facility Management :

设施管理

·  Assist with the monitoring of Office Facilities and Critical Environments
·  协助监控一般办公室以及关键环境中的设备设施运行情况;
·  Assist with scheduling contractors for preventative FM maintenance to limit downtime for all critical equipment
·  协助服务承包商执行预防性维保工作计划,以降低所有关键设备设施的突发运行停止几率;
·  Assist with reporting on Facilities Management
·  协助向设施管理团队进行日常报告;
·  Assist with arranging ad-hoc FM repairs as required
·  应客户要求协助安排临时性的设施维修服务;
·  Follow established escalation procedures and incident reporting procedures
·  遵循既定的事故升级上报流程跟进报告发生的事故。

Environment Management :

环境管理

·  Assist FM/FO to ensure a good office environment, including arranging ad-hoc office fabric repairs, and monitoring landscaping services and cleaning services
·  协助设施主管向服务客户提供一个良好的办公室环境,包括安排即时性的办公室结构维修,以及监督景观美化和卫生保洁工作质量;
·  Highlight and promote company sustainability initiatives as appropriate.
·  视情况筹划提出公司可持续性倡议。

Vendor Management :

供应商管理

·  Meet with CRE to understand HSBC's needs.
·  与汇丰银行公司房地产部定期召开会议了解客户的诉求;
·  Work with FM Management teams to arrange and process of FM contractor bids
·  与管理团队密切配合,安排和参与服务供应商的竞标遴选程序;
·  Assist with evaluation of FM contractors’ service performance.
·  协助对服务供应商的工作质量和服务表现进行评价;
·  Checking that suppliers have correct identification in accordance with our requirements.
·  依据既定的工作要求,检查服务供应商是否对服务内容,服务时效等有正确的认知。

Customer Service/Client Relationships :

客户服务/ 客户关系维持

·  Keep good communication with RBWM & CRE teams to ensure customer satisfaction regarding FM services.
·  与零售银行部及房地产部保持良好的沟通,确保客户方面对综合设施管理部的工作有较高的满意度;
·  Pantry Goods - Submit purchase request for CRE approval, purchase from approved supplier on JLL system only, and ensure delivery is on time with accurate quantity.
·  茶水间易耗品-短缺时提交采购补充申请给房地产部审批,从经过批准的仲量联行供应商列表中选择采购供应商,并保证按时按质地运送;
·  Ensure FM operations procedures are followed to ensure service standards are maintained.
·  保证综合设施管理部日常营运规程被严格遵循,保证既定的服务标准能够被一直保持。

Payment & Billing Management :

支付和账单管 理

·  Assist to receive and verify the monthly statements from FM vendors for FM services.
·  协助收取和核对从服务供应商那里获得的月度服务结算单
·  Allocate expenses and prepare reports as per FM management team direction.
·  依据管理团队的指示,分配费用和准备费用报告;

·  Assist FM to do financial accruals.
·  协助本部门进行费用预提的工作。

Space Management :

空间 布 局管理

·  If required, assist with providing an accurate seating plan to support space management on monthly basis to Space Data Management team.
·  如有需要,协助提供准确的工作位空间格局计划,每月度向汇丰银行空间数据管理团队进行报告。

Other :

其他职责

·  Assist FM/CRE team to seek ways to reduce costs and improve operational standards.
·  协助综合设施管理部及汇丰银行房地产部寻求成本节约解决方案,提高营运服务标准;
·  Coordinate with the landlord on a day to day basis regarding operational issues. Ensure FM management team aware of any important issues and escalate to CRE Estates Management team as required.
·  就设备设施管理事务与楼宇业主进行每日磋商和沟通。确保设施管理服务团队知晓和关注到任何重大的事项,如有需要及时升级上报给汇丰银行房地产管理部;
·  Assist with JLL FM reporting, including monthly reporting requirements.
·  协助履行仲量联行设施管理部的月度报告义务;
·  Supervise JLL-employed receptionists and tea ladies, as appropriate to FM scope at site.
·  监督管理仲量联行委派的前台接待员和端茶小姐的工作,是否完全符合职责要求和服务规范;
·  Back up JLL-employed receptionists if necessary, and as appropriate to FM scope at site.
·  如有需要,随时支援前台接待员的工作,并符合该岗位职责要求和服务规范;
·  Any other duties assigned by the Facilities Manager.
·  其他综合设施管理部经理交派的工作或任务。
