Job description



To deliver high quality, prompt and courteous Facility Management services in support of Client's business needs in a safe working environment.

·  Facility management
·  Assist to monitor the Office Facilities & Critical Environment
·  Assist to deal with emergency and arrange ad-hoc repair
·  To follow established escalation procedures and incident reporting procedures

·  Office equipment & environment management
·  Assist FM/FO to ensure a good office environment, including arranging office ad-hoc repair, monitoring landscaping service and cleaning service
·  Assist to client event if necessary or required

·  Car pool service
·  Management office car pool service, including car arrangement, vendor communication, driver performance and BU compliant.
·  Car pool service cost management, including BPO submit, regular car pool/temporary car pool service/ MD office car cost. Make sure the monthly cost correctly and bill to related department in time.

·  Vendor management
·  Order necessary materials for Client site and make sure reasonable usage.
·  Assist to evaluate the contractors’ service performance.

·  Cleaning supervise:
·  Assist to management cleaning service and cleaner performance for Facility manager
·  Communication with cleaning company and deal with BU complaint
·  Assist to make cleaning arrangement and supervise actual performance

·  Express management:
·  Assist to manage mailer performance, including HP contract mailer
·  Manage monthly express cost, including EMS Jiuzhou or any other vendors involved in time
·  Communication with express company

·  Customer Service / Client Relationships
·  To arrange office soft service. To purchase office consumption (paper, stationery and pantry stuff etc.) and deal with printing materials. To report and submit purchase request for client approval, purchase from approved supplier and ensure they are delivery on time with accurate quantity.
·  Ensured Key Operations Procedures are followed to ensure service standards are maintained.
·  Assist for client legal chopping related work.
·  Management client leasing contract, mainly for Beijing, Dalian, Wuhan and small office.

·  Payment/ billing management
·  Assist to receive and verify the monthly statement.  Allocate the expenses and prepare reports to client.
·  To assist client/FM to do accrual.
·  To do payment for monthly rental, management fee and utility cost timely and deal with after invoice.

·  Space management
·  Assist to provide the accurate seating plan to support space management

·  To assist client/FM to do report work, including monthly report

·  Any other duties assigned by the client / FM.
