Your day to day
● Provision of full secretarial support including: diary management, all travel & accommodation arrangements, meeting co-ordination, business expenses and dealing proactively with all telephone calls and written correspondence● Monitor e-mail traffic and respond promptly to time sensitive requests● Co-ordinate and manage meetings hosted by the GM. Includes notification, registration, logistics and follow-up within time parameters● To devise and maintain an up to date filing, storage and follow up retrieval system● To work with other functional managers as required to assist in any secretarial support– including processing invoices, organizing external meetings as required and any internal communications as needed. ● To complete all administration accurately and timely for all expenses, holidays, absence allocation and authorization of expenditures, budget maintenance and invoice processing● To undertake special duties or work outside the normal daily/weekly routine but within the overall scope of the position at the request of the GM● To attend and take notes and minutes at key company meetings, transcribe and communicate to colleagues in a timely manner.● To carry out background research and present findings as required● To meet and greet visitors
What we need from you
• Previous PA experience at a senior level is desirable• Excellent written and verbal English language skills.• Advanced user of Microsoft Word, PowerPoint, Excel and Outlook.• Ability to work with people at all levels of the organization.• Able to exercise complete confidentiality and diplomacy.• Will be able to work unsupervised, use initiative and be self-motivated, confident and professional. • Ability to cope and maintain calm under pressure & Able to maintain composure even in high-stress situations• Able to plan, prioritize and organize proactively• Excellent interpersonal skills• Excellent time management skills that allow for the multi-tasking of all responsibilities• Excellent organizational skills, ability to prioritize based upon changing needs of the GM
