Act as primary point of contact for routine inquiries regarding employment, policies, procedures, and payroll and/or benefits issues, provide administrative support to the Human Resources and Training at the same time handle the manager's appointment calendar, coordinate telephone/conference calls and incoming mail, and set up and maintain filing systems, etc. You will maintain and update employee records and files (including personnel forms and files), leave form forms and files, Workers' Compensation files, update the assigned task on the Payroll system, etc.
Your day to day
Duties and Responsibilities • Provide support in the operation of Colleagues Accommodation including, but not limited to: maintenance and upkeep of facilities, events and activities held in the compound, food safety, standard security measures, regular checking of rooms in collaboration with the Accommodation Manager. • Daily update of the manning spread sheet keeping it accurate in terms of actual versus budget, resignations and identified candidates. • Daily Update of the Recruitment Status in terms of vacancies per department as well as update on the status of the shortlisted candidates • Managing Lumese system in all aspects to keep it up to date with recruitment requirements • Ensure 100% usage of My Recruit for all vacancies and responding to at least 90% of the applicants • Ensure the right talent is attracted and recruited by developing and implementing new and innovative methods of recruitment, using tools such as social media, educational institutions, internal transfers…etc. to deliver higher quality candidates and ensure “time to fill” period is reduced. Follow the Recruitment Process as per below: •Opening the positions in My Recruit. •Posting the positions internally. •Sourcing CV’s •Screening CV’s •Sending CV’s to department heads •Arranging Interview appointments with department heads •Run a Behavioral Interview along with the department head •Assist in Shortlisting the candidates •Get at least 2 Character References for each shortlisted candidate •Ensure chosen candidates complete pre-employment medical •Inform Training Manager about the new joiner •Remind departments about on-boarding and join date of the candidate •Arrange arrival amenities & Welcome Pack •Welcome the candidate on the first day •Complete HR formalities •Hand Over the associate to their department •Close the position•End to end processing of company payrolls monthly.•Maintenance of payroll system and leave planning system.•Updating and maintaining payroll records.•Liaising with staff and management on payroll related queries.•Maintaining leave, sickness and others leave.•Interpreting awards/agreements and contracts in relation to overtime and shift allowances etc.•Payroll reporting to meet internal and statutory obligations. •Payroll administration.•Calculation and processing of termination payments.•Processing increases and calculation of back pays.•Assisting Payroll Manager with month end consolidation.•Assisting Payroll Manager with reconciliation and payment of payroll.•Reconciling payroll related GL accounts.•Calculating annual leave and LSL provisions/accruals.
What we need from you
Presentable, Administrative skills, University Graduate, Good English communication skills both oral and written. Preferably 1/2 years of working experience. Must speak fluent English. Other languages may be preferred.
