Your day to day

Coordinate services for clients and in-house groups and provide administrative support for the Conference Services department.

 

DUTIES AND RESPONSIBILITIES:

·  Respond to client calls and special requests and obtain final details, dates, times, and hotel room and meeting room requirements.  Regularly follow-up with clients and maintain accurate and updated information. 
·  Perform administrative duties such as pulling weekly reports, distributing the departments logistical need reports, scan and email out contract turnovers.   Update databases, and complete departmental monthly reports.
·  Liaise with all departments regarding needs of groups arriving to property.  Work on behalf of Conference Service team to ensure all information regarding the groups arriving to property are well known in advance.
·  Review and monitor Group Sales booking activity within Delphi database management system and ensure compliance to IHG Standards set forth.  Be an advocate of standards set for in the system on behalf of the entire Group Sales Department.
·  Resolve requests and/or complaints to the satisfaction of the guest; inform supervisor of major problems, complaints, disturbances or dissatisfied clients. 
·  Promote teamwork and quality service through daily communication and coordination with other departments. Coordinate details with other departments such as VIP amenities, special requests, or other service needs or special handling.
·  Daily monitoring of deadlines within Conference Service department to make sure updated guarantee numbers are being given to the need departments and details are delivered to those who need the specific information
·  Weekly Guest Rooms Control reports: tentative and prospective.  Will be used for follow up to close business.
·  Complete turnover process to conference services for further communication with client.
·  Full execution and review of leads in the absence of Director of Group Sales.
·  Run prior days Prospects, Tentatives and Definites for daily morning Guest Rooms Control Meetings.
·  Submittal of daily amenity requests.  Requires coordination with Food & Beverage Departments as well as Front Office Department.
·  May coordinate outside vendor services needs (floral displays, audio/visual, etc.) where appropriate.  Regularly follow-up to ensure set-up requirements meet client needs. 
·  Perform other duties as assigned (special guest requests, maintaining calendars, answering phones and making vouchers, key packets, handling of mail, faxes, etc.)
What we need from you

High School diploma or equivalent plus 1-year experience in a coordinator or meetings/events position or related field.  Some College preferred.  Must speak fluent English.  Multiple languages strongly preferred.  Must be proficient in Microsoft Office Suite, Gmail, and Delphi knowledge a plus.

This job requires ability to perform the following:

·  Frequently standing up and moving about the facility
·  Type at least 50 wpm; proficient PC computer skills
·  Carrying or lifting items weighing up to 25 pounds
·  Communicating with customers, employees, and third parties
·  Use a keyboard to generate correspondence, reports, etc.
·  Handling objects, products and computer equipment

Other:

·  Communication skills are utilized a significant amount of time when interacting with clients and guests.
·  Reading and writing abilities are utilized often.
·  Basic math skills are used frequently.
·  May be required to work nights, weekends, and/or holidays.
