Role Summary/Purpose

The Executive Assistant will be responsible for defined work or projects with moderate complexity. In this role you will provide high-level, confidential administrative support to the GE Aviation Government Affairs and Policy team at GE's Washington, D.C. office.
Essential Responsibilities

The Executive Assistant will be responsible for professional maturity, diplomacy, and discretion. In this role you will follow a work plan, meet day-to-day short-term objectives, and resolve issues through immediate action or short-term planning.

In addition, as the Executive Assistant, you will:

·  Provide overall office management and administrative duties such as:
·  phone coverage
·  call screening
·  memos
·  and letters to the executive suite (CEO, CFO, HR, and Legal) and other Business Management

·  Be responsible for day-to-day responsibilities, including; floating between positions and assignments, as directed

·  Serve as backup to Executive Assistants in other departments

·  Establish and maintain strong communication links with Group, Division, and Department level secretarial and administrative personnel

·  Proactively coordinate calendars, which is comprised of a heavy meeting schedule and extensive travel

·  Make complex travel arrangements and coordinates itineraries

·  Plan, schedule, and arrange business meetings and travel itineraries

·  Maintain passport and visa requirements

·  Prepare and reconcile expense and T&L accounts

·  Direct business contacts to appropriate managers

·  Prepare presentations, reports, spreadsheets, meeting minutes, and other business information

·  Assist in managing expense accounts and budgets

·  Provide discrete and confidential coordination of sensitive company information

·  Use discretion in interfacing with all levels of individuals, both internally and externally

·  Anticipate needs and accomplishes responsibilities without direction

·  Prepare, evaluate, and edit incoming and outgoing communications for the executive suite

·  Manage multiple projects from various sources (Including; other Executive Assistants) and prioritize / initiate follow up to ensure timely achievement of commitments

Qualifications/Requirements

·  Bachelor’s Degree from an accredited college or university (Or a High School Diploma / GED with a minimum of 4 years of experience in an Executive or Administrative Assistant position)

Eligibility Requirements:

·  Ability and Willingness to work a schedule based on the demands of the executive suite
·  Which will include:
·  early mornings
·  late evenings
·  and some weekends

·  High customer service orientation experience, in a customer service environment with customer contacts, at all levels

·  Strong organizational skills and exceptional attention to detail and accuracy

·  Ability to prioritize and anticipate needs

·  Ability to maintain confidentiality of highly sensitive information

·  Ability to deal with ambiguity and handle stressful and difficult situations with composure

·  Knowledge of GE policies / procedures

·  Ability to balance workload under short deadlines and changing priorities in a fast paced environment

·  Internet proficiency and knowledge of web-based applications

·  Strong computer skills with proficiency in Microsoft Applications (PowerPoint, Word, and
Excel)

·  Strong oral and written communication skills

·  Strong interpersonal and leadership skills
