Role Summary/Purpose

As an Executive Administrative Assistant, you will assist two Senior Leaders by coordinating all administrative activities for their organizations. You will also routinely coordinate multiple priorities, handle tight deadlines, & address high priority requests. Our EA’s are able to “roll up their sleeves” to problem solve in order to move with speed.
Essential Responsibilities

As cultural champions, EA’s hold the front line of the organization they support - interfacing / engaging
regularly with employees and partners.
In this role you will:

·  Maintain calendars, identify conflicts and resolve promptly

·  Coordinate travel arrangements including: domestic/international and required Visas

·  Maintain reconciliation of AMEX expenses as required in accordance with GE guidelines

·  Provide diverse and advanced administrative duties for executives and provide support to the
staff on an as needed basis

·  Perform a wide variety of administrative activities that require handling of confidential
information and business critical assignments in a professional business manner

·  Exhibit a highly professional image to contacts both in person and on the phone

·  Lead or prepare presentation materials such as executive internal and external presentations,
strategy presentations, HR presentations, promotional material etc.

·  Make arrangements for on-site and off-site meetings and office events such as conferences

·  Ability to create pulse/culture/feedback survey using online tool and compile results in Excel/PowerPoint
·  Organize onsite and offsite team gatherings/team building events and support logistics on a
quarterly basis

·  Plan/maintain office supplies and administrative budget

·  Coordinate with facilities for visitor’s badge for visiting team members onsite and onboarding logistics of new person joining the team onsite/offsite

Qualifications/Requirements

·  High School Diploma, GED or local equivalent
·  Minimum of 8 years secretarial/administrative experience
·  Strong organizational skills with high attention to detail
·  Ability to quickly identify and prioritize issues, create solutions, and meet deadlines
·  Self-starter, proactive, able to work independently with minimal direction, able to maintain
confidentiality, and handle matters discreetly

Desired Characteristics

·  Track record of successfully leveraging Microsoft software packages in a professional
environment (Word, Excel, PowerPoint, and Outlook) and web tools such as             Skype
·  Demonstrated ability to use or learn new software applications

·  Demonstrated ability to handle multiple priorities and requests promptly and effectively

·  Working knowledge of various technology tools

·  Must be flexible/adaptable to extend work hours as needed

·  Tenacity and ability to communicate, influence, and problem solve with all levels of leadership
and personalities

·  Outstanding written and verbal communication

·  Proven track record of providing customer service/communications that are in sync with
communicated organizational expectations

·  Ability to effectively interact and communicate with senior level management and corporate
contacts

·  Excellent interpersonal, verbal, and written communications skills including strong grammatical
skills
