We are currently seeking a Workplace Services Assistant Director to join our ESS leadership team. This position is responsible for managing the Workplace services delivered to our Toronto, London and Waterloo offices. The Workplace Assistant Director ensures effective delivery of facilities and workplace experience services and supervision, trains and develops facilities staff and assists budgets and operational costs.  This position also serves as a liaison and effectively teams with other support functions within the Canadian Workplace team to meet office, area and firm organizational goals.

Your key responsibilities

·  Supervises staff (including reception, hoteling/hospitality, mail, print and records room, and office services) supporting teamwork, cross-training and consistent, high quality customer-focused services; coordinates shift work during peak periods and absences; manages time reporting and overtime.
·  Mentor and coach f staff to develop technical, functional and interpersonal skills.  Fosters staff development and teamwork.
·  Identifies specific training needs for staff and develops plan of development based on many subjective areas.    
·  Responsible for managing resources, including the recruiting process from interview to hire and works closely with the team on employee relations and performance management issues.
·  Provide for facility inspections and checklists, work order fulfillment, and surveys as appropriate. Develop benchmarking criteria for maintenance to track reoccurring repairs and monitor for cost saving opportunities.
·  Assists in space protocol enforcements and tracking space usage.  Maintains facilities-related database and maintains current floor plans.
·  Conducts inspections of floors to ensure quality of maintenance. 
·  Ensures that all requests for facilities-maintenance services are fulfilled in a timely and quality manner.
·  Assists with budgets and cost allocations to local business units.  Assists with monitoring results. 
·  A key member of the Crisis Response Team and maintenance of emergency preparedness, from initial crisis response to longer term business continuity planning.
·  Approves and/or requests payments to vendors in accordance within established guidelines.
·  Assists regional leaders with communicating, implementing and monitoring all firm administrative policies/procedures in location in a time sensitive manner and within operational guidelines.
·  Seeks and develops solutions to issues and evolving needs.  Utilizes leading practices and knowledge resources and shares knowledge willingly and participates in related initiatives as appropriate.
·  Works closely with the National ESS leadership team on related issues to ensure a supportive team environment throughout entire ESS team. 
·  May serve on national project teams related to facilities initiatives and service efforts.
·  Has a forward thinking approach in all aspects of the role and looks for opportunities for transformation of roles

To qualify for the role you must
·  Be dependable, creative individual who demonstrates business maturity, positive and enthusiastic attitude.
·  Have 10-15 years of continued growth and experience in workplace services
·  Solid experience in agile project management and process improvement
·  Have experience in managing workplace change and emerging trends in workplace solutions
·  Posses a vision for continued improvements and embracing change
·  Have experience in supervising others. 
·  Have experience in handling confidential information and discretion. 
·  Possess demonstrated ability to work within budgetary constraints. 
·  Possess excellent verbal and written communication and customer service skills.  
·  Have sound knowledge of office technology systems (Windows, Word, Excel, PowerPoint and Lotus Notes). 
·  Be open flexible on schedule to support the business needs as needed. 
·  Have an understanding of the importance of building a positive self-brand.
·  Minimal travel is required.
