The opportunity
As an Executive Assistant (EA), you’ll provide administrative support to a variety of executives within the organization.  You may also assist service line or engagement-specific teams. You’ll be a key member of a team using your experience, skills and knowledge of organizational policies, procedures and practices to help achieve the goals of the business. You’ll be part of a high performing, diverse and inclusive team sharing best practices.

 

Your key responsibilities



• Organizing and managing comprehensive schedules, itineraries, travel and accommodations
• Preparing expense reimbursement and timesheets on a weekly basis and resolving auditor inquiries when needed
• Screening phone calls and messages, and follow-up actions, referring to the relevant team member when appropriate
• Preparing and revising documents including presentations, emails, reports, agendas and papers
• You may also coordinate client events, internal and external as needed
• Developing relationships with key internal/external stakeholders and becoming a team resource
• Assisting with project plans for small project teams in local and virtual team settings
• With guidance, assisting with management of certain administrative aspects of client engagements
• Working closely with managers to receive timely feedback, providing quality service and ensuring client satisfaction
• Responding to clients’ needs; ensuring all queries/concerns are resolved with the client and adhere to firm policy
• Collaborating with colleagues to determine and recommend most cost-effective solutions for completing tasks.
• Applying and sharing knowledge obtained on work processes, resources, structure and business of the firm/service line/functional group
• May be considered as a knowledge resource in one or more of the firm’s software applications and be requested to train others less skilled

• Gain knowledge and develop and demonstrate solid working knowledge of firm structure, service lines, key personnel and organizational policies and procedures
• Receive limited supervision, more often work independently

 To qualify for the role, you must have



• Associate's degree in related discipline or equivalent work experience
• Minimum of three years of related work experience as an Executive or Administrative Assistant supporting multiple key stakeholders within a large corporate environment
• Proficiency in MS Word, Excel, PowerPoint, Skype and Outlook

  Ideally, you’ll also have



• Proficiency in automated calendar management tools (e.g.Outlook) and various IOS and Android mobile devices
• Proficiency in MS SharePoint
