Responsibilities

Under the supervision of the Bureau of Benefits Management Director, this position is responsible for a wide range of administrative and special project assistance necessary to the efficient administration of the Bureau of Benefits Management.  This individual provides a variety of administrative and supportive services to the Director, the Deputy Director, and Section Chiefs, some of which is confidential.

In addition, this position is responsible for providing and coordinating administrative and program support needs to bureaus in the areas of human resources, purchasing, forms and publications, space and telecommunications, word processing, customer service, and program support related to the bureau’s programs and priorities as required.

·  Provision of complex administrative and program support services for the Bureau of Benefits Management
·  Liaison between Benefits Management and other bureaus in DHS​
·  Provide assistance with Special Projects
·  General Administrativeresponsibilities and coordination

Skills and Experience

·  Efficient with Microsoft Office Suite (Excel, Word, Outlook-able to manage multiple calendars), Skype/Teleconferencing Software
·  Location, working onsite is 1 West Wilson Street, Downtown Madison
·  Ability to make independent judgment on action to be taken based on contents of information or documentation reviewed.
·  Extensive knowledge of standards and principles regarding forms management and approvals.
·  Considerable knowledge of office procedures especially those related to management activities.
·  Extensive knowledge of filing, logging and follow-up systems as they relate to office procedures.
·  Considerable knowledge of personal computers including Word, and Access.
·  Extensive ability to communicate and work effectively with people to implement procedures that affect their jobs.
·  Considerable knowledge to develop formats and procedures to accumulate information from various sources in a meaningful manner, cross-reference files and documentation.
·  Extensive knowledge of DMS programs and publications, manuals, brochures and reports.
·  Ability to monitor procedures and reports of several projects at the same time.
·  Familiarity with departmental personnel practices in order to coordinate personnel activities for the Bureau.
