Purpose:

·   This role will coordinate and administrate commercial information in SAP for Direct materials and New Generation Products i.e. to reflect accurate and timely pricing and sourcing information in the system for business planning and purchasing purposes.
·  Scope involves the management of commercial information via the Purchase Information Record (PIR) and Source List (SL) for external vendors.
·  The Procurement function is responsible for maintaining a strong control environment over the commercial conditions it negotiates with suppliers and providing value added support for cost saving initiatives driven by the Global and Local functions.

 

Principal Accountabilities

·  Execute Purchase Info record (PIR) and Source List (SL) management to ensure timely and effective delivery of commercial information as required by the Business Function and SAP Template. This covers the processes of “create”, “update” and “delete” PIRs/SLs for external vendors.
·  Collation of all required information for the relevant PIR/SL process to be completed from Procurement and any other involved or impacted stakeholders. Keep Tracker updated.
·  Completion of the PIR mass upload template ensuring all mandated fields are completed as a minimum.
·  Manually into SAP or via the mass PIR/SL upload programme, create/maintain/delete commercial prices, terms and conditions in the PIR/SL at SKU level in SAP
·  Manage SAP vendor master data for Directs and Global Indirects suppliers
·  Manage “SAP Contracts” for print materials to ensure the optimal prices per order are in the Purchase Order.
·  Deal with blocked invoices to pick up a mistake in supplier’s prices or PIR information in the system.
·  Ensure that the drivers of price changes are analysed, explained and communicated clearly to End Markets.
·  Ensure that all deadlines are met for price submission and PIR data is uploaded in SAP.
·  Run and analyse SAP reports as required as part of PIR/SL process and governance.
·  Provide a monthly KPI reporting to the regions
·  This role is responsible for the execution of the PIR/SL process under SAP and to manage the adoption and implementation of this global template process within the BAU (“business as usual” environment)
·  Manage the consolidation, review and issue of PIRs as part of the annual budget cycle and Nexus process.
·  Provide a regular training and engaging sessions with key stakeholders

Additional Information

Context/ Environment

The StS Centres of Expertise under GBS will service Procurement centrally and at End Market level across the StS process including owning and managing a central repository of templates to support these processes. They are expected to work in partnership with Procurement to ensure a user friendly experience and that actions are being executed in alignment with both the global GBS strategy and global Procurement strategy.

Each Centre will be made up of a mixture of highly skilled, trained and knowledgeable procurement resources delivering specific activities within StS. This includes sourcing preparation and execution, analytics and reporting, support in contract management, supplier onboarding, supplier screening, ABAC and KYS procedures, catalogue creation and catalogue maintenance and vendor data excellence. They will ensure a high level of customer service to Procurement and end users globally.

A new StS solution is being developed and deployed globally between 2019 – 2022 and each Centre will be expected to use the solution to fulfil Procurement obligations in complete alignment with Procurement and LEX. GBS will be expected to work closely with Procurement to ensure targets and objectives are being met.

Knowledge, Skills and Experience

Experience & Knowledge

·  Prior experience of working on SAP and data management
·  Prior experience in working with internal customers across globe
·  Experience and knowledge around material data management and new product introduction process

 

Skills

·  A “can do” attitude and drive to ensure global adherence to supplier risk and compliance management  
·   Procurement, Material Planning/Purchasing experience is an advantage
·  Strong interpersonal, communication skills and attention to detail
·  Proven track record of working in cross functional teams
·  Able to effectively prioritise tasks and good problem solving
·  Self-starter, able to work independently and self-motivate
·  Comfortable with detail, numbers and data
·  Completer-finisher skills a distinct advantage.

 

Qualifications & Training

 

·  Two to five years of strong quantitative experience
·  Bachelor’s degree in finance, accounting or other business related field
