Main Responsibilities

Project Support

·  To provide administrative support to change and capital projects, including the Manchester Engineering Campus Development (MECD), managed within Faculty, including:

·  proactively organising events and workshops: working with members of the wider Planning, Compliance and Special Projects Team to determine the requirements for these and implementing accordingly;

·  provide secretarial support to relevant working groups and pro-actively follow- up

·  To work closely with managers and Project Officers within the Faculty Planning, Compliance and Special Projects Team and MACE School Administration, actively contributing ideas and creative solutions and undertaking project work under their

·  To 'champion' capital and change projects and new initiatives developed by the Faculty Planning, Compliance and Special Projects

·  To support the wider the Planning, Compliance and Special Projects Team and MACE School Administration as required, including involvement in planning, timetabling and safety and compliance

·  To assist the wider Faculty leadership team as

Team Administration

·  To manage documentation for the relevant team: organising and maintaining an electronic filing system and working with internal colleagues and external partners to ensure appropriate access and

·  To manage meeting schedules, including support to capital projects within the Faculty and associated stakeholder Liaise with internal colleagues and external partners as appropriate, making venue and catering bookings, and circulating paperwork as required.

·  To act as the central point of contact for the Planning, Compliance and Special Projects Team, including management of the project email accounts, and dealing with telephone

·  To maintain Outlook project and team calendars: entering meeting details, team holidays and

·  To ensure project mailing lists and contact details are kept up to

·  To process purchase requisitions and the payment of invoices and expenses involving the use of the University's finance systems, and administer related documentation.

·  To make travel arrangements for members of the Faculty Planning, Compliance and Special Projects Team, their business partners and members of the Faculty's leadership team as required: ordering travel tickets using the Egencia system; planning travel

·  To provide general administrative support to members of the project team for example, helping format documents or presentations, photocopying and printing.

·  To liaise with internal departments and other colleagues, external suppliers, project managers and

·  To order office supplies and maintain levels of consumables within the office.
