The Role:

The facilities assistant is responsible for the smooth running of our clients busy despatch department and mail room, ordering stationery and generally assisting the facilities manager as required, to provide a high quality and efficient working environment.

Team:

The facilities team is the linchpin of the company's operation, providing management and support in all aspects of office services, building maintenance and housekeeping. The team works closely together to provide a seamless service to staff, callers and visitors.

Duties:

Ensure that the despatch office is tidy and business-like at all times

General housekeeping duties, including replacement of light bulbs; regular monitoring of meeting rooms starting at 09.00 hrs each day to ensure they are tidy and supplied with flipcharts, pens, pads and any other relevant materials; making sure all phones are connected and working; and any other general tasks as required

Regular rounds of the entire office to ensure its tidiness, disposing of any unwanted or discarded items

Check copier stations and ensure copiers are stocked with paper. Replenish paper supplies, order and manage stock

Active involvement in ensuring health and safety regulations are adhered to. Carry out timed checks and file results as instructed by the facilities manager, including and not limited to general office inspections, first-aid kits, ladder checks etc

·  Receive incoming mail, sort and distribute to departments. Sort outgoing mail and despatch

·  Receive incoming deliveries, check, sign for them and deliver to members of staff

·  Despatch outgoing goods by the most cost effective means, ensuring that any paperwork is completed accurately

·  Order stationery as required and ensure that supplies are adequately stocked at all times

·  Complete and file all relevant paperwork, including pro-forma invoices and supplier forms

·  Reconcile invoices quickly, allocating job numbers where appropriate and taking up any queries with the supplier

·  Build relationships with suppliers and ensure the company receives the benefit of competitive rates together with efficient and timely service

·  Assist the facilities manager with general clearance and maintenance of the building

·  Regularly check and manage goods in the loading bay by communicating with owners

·  Provide occasional reception cover when required

·  Meet with the facilities manager on a regular basis

·  Learn from the facilities manager so that you can provide cover in his absence
