Wandsworth

Part time - 21 hours per week - Weds, Thurs and Fri

Temporary role - 12 weeks minimum

£12.34 per hour

The borough's Early Help Offer is delivered through three THRIVE Wandsworth clusters. Each cluster is made up of two teams with a focus on: Early childhood and Early learning, Young people and Family support.

Job Purpose

The Business Support Officer (BSO) will work as part of the Centralised Business Support Team, supporting the Early Help Division's model for providing services to families with children from 0-19 years and up to 25 years with SEND across the three THRIVE geographical clusters.

Responsible to the Senior Business Support Officer in their designated cluster, to ensure a flexible and responsive Business Support Service is provided across the three clusters.

The postholder will support cluster services to deliver a whole family approach, offering administrative and building support as needed and will provide a welcoming face to families attending activities or visiting one of the hubs.

Specific Duties and Responsibilities:
Scale 3:

·  To receive a variety of visitors and young children with disabilities at cluster hubs and at centres when activities are taking place. Directing them appropriately and informing relevant staff/partner members in a professional and courteous manor. Ensure all visitors sign in and out and issue each visitor with a visitor's badge, which should be worn at all times whilst they are on council premises.

·  Answers all incoming calls, dealing sensitively and helpfully with callers; taking accurate messages and distributing messages to colleagues in a timely manner.

·  Provide help and information to all staff and partners within the cluster as required. To support families in accessing information about services on THRIVE Wandsworth.

·  To make sure that children, young people and parents, particularly those who are new to the hubs or activities, feel welcomed and understand what services are available to them.

·  Holds keys for all buildings, opening and locking the centres as and when required.

·  Completes the relevant daily building checks such as building hazard and playground check sheets.

·  To ensure all building repairs and maintenance related to all buildings, is logged and reported to the appropriate department. Chases up outstanding works, ensuring they are completed in a timely manner.

·  Undertakes Fire Marshall training and ensures that fire alarm testing is carried out weekly in accordance with council policy for all centres.

·  Maintains all leaflets and flyers within buildings ensuring they are up to date and replenished; Update as required, the buildings information boards ensuring the information is current, up to date and relevant for our services and partners.

·  Working across all buildings within their designated cluster, providing admin and building support as required. Must have flexible working hours to support the needs of the service which will include hours outside of normal office hours (08:45am - 16:30pm) such as evenings and early mornings and weekends.

Progression to scale 4 to include all scale 3 plus:



·  Creates orders on the Council's Integra system as directed and within the service's guidelines. Ensures that all processes are adhered to and orders have a clear audit trail.

·  Ensures all orders for are goods receipted (GRN) in a timely manner on the Integra system in line with Council guidelines.

·  Confidently uses IT systems and programmes to create documents and spread sheets.

·  To ensure all maintenance and health & safety issues related to all buildings, is logged and reported to the appropriate department.

·  Maintains filing systems for cluster teams, scanning and naming documents appropriately to ensure they are easily accessible.

·  Maintains the cluster buildings room booking diary, updating as required.

·  Accurately Inputs all data on both the Children's Centre Information Management Systems (CCIMS) and Youth Services system (IYSS) in regard to services operating within their designated cluster. Ensures that this is done within set timeframes.

Progression to Scale 5 to include all previous, plus:

·  To type and send letters, emails and information as necessary in accordance with council correspondence standards; maintaining circulation lists and preparing address labels to facilitate this activity.

·  Inputs and uploads information to Mosaic as required. Ensures that this is done accurately and within set time frames.

·  Creates new and amends existing suppliers on the Integra system.

·  Investigates and resolves any issues and mismatches on the Integra system as and when required.

·  Creates and maintains asset registers and inventories for all centres
