Purpose of Job
Support the Business Support Team in providing corporate services
Main Duties and Responsibilities
· Support the Business Support Team with day to day administrative tasks
· Provide executive support to the wider Corporate Services Directorate
· Assist the Business Support Team in monitoring and managing complaints, setting up review panels, NOSP appeals and the collation of documents
· Assist the Business Support Team in the collation, redaction and completion of Subject Access Requests and Disrepair Claims
· Create forms and templates, guidance notes and promotional material to support the Business Support Team
· Conduct research, surveys, polls, focus groups etc. and report on findings
· Maintain appropriate monitoring frameworks, action plans and information centres to support project delivery and deadlines
· Maintain the policy and procedure matrix
· Organise travel and accommodation, as required
· Prepare agenda, take minutes and update action logs
· Processing invoices and expenses
· Logging and monitoring correspondence
· Prepare and maintain systems, reports and databases including data entry
· Assisting with monitoring performance and facilitating improvement
· Assist the Business Support Team to deliver staff events and initiatives.
· Prepare reports, presentations and other information on a range of issues for a variety of audiences using appropriate media.
Additional Tasks
· Provide executive support to the Chief Executive as and when required
· Support the CEO by being a point of contact for calls, enquiries, visitors and requests
· Support the CEO by taking dictation (in person and over the phone) and minutes at meetings
· Assist with the management of the CEO and Director of Housing's diary and inbox
· Provide administrative and clerical support to the CEO PA and Corporate Services Officer
· Work with the CEO PA to organise external and internal meetings and events such as tours, teleconferences, Board Meetings, Board Strategy Days, CMT Meetings and CMT events; booking venues and ordering catering, arranging accommodation and transportation, and taking minutes as required
· Attend to visitors of the CEO and Director of Housing
General
· Perform other duties as may be reasonably required by your line manager or other manager.
· Conduct yourself in line with our client's policies, procedures, rules and standards.
· Adhere to the highest principles of confidentiality in line with Data Protection
· To keep up to date with new technology as introduced and undergo any appropriate training
· To work flexibly, creatively and responsively with other personnel to ensure the smooth running of the services we provide.
· Undertake some out of hours work and travel.
· Provide executive support including taking dictation and minutes at meetings
