The opportunity
We are currently looking for an Executive Assistant to support our Vascular business for a 12 months max term contract. Based at our Macquarie Park office, the role will provide assistance through the completion of diversified administration duties and activities utilising an awareness of company policy and procedures.
This role calls for a sophisticated operator who can move through each day with efficiency and effectiveness. From your experience, you will know that the responsibilities of an Executive Assistant are never finite, but here's a start:
- Perform administrative duties and provide assistance including expense management, diary management, meeting minute taking and composition of communications including, letters, memos, emails, etc.
- Monitor, redirect and respond on manager’s behalf, where appropriate, incoming phone calls and emails, escalate as appropriate.
- Scheduling, coordinating and booking of flights, accommodation, conferences and meetings as required.
- Manage communication between the Area/Division leadership and Affiliate leadership.
- Manage the Health Care Professionals (HCP) approval process, travel and related activities within company policy.
- Manage all role functions in accordance with MTAA Guidelines, and company compliance and controls.
- Process customer complaints according to company protocol for Field Event Reporting.
About you
From your experience supporting key leaders in a complex environment, your outstanding administrative skills and initiative in managing tasks and projects will set you apart. You pride yourself on being one step ahead. You will be able to demonstrate experience bringing together resources and information to prepare presentations, reports, and communications on behalf of an Executive, or similar.
Your written communication and strong competency with general presentations, formatting and IT makes this a breeze for you.
Exceptional diary-management will be a given, along with absolute trustworthiness and an understanding of the importance of confidentiality.
Your ability to make connections across the organisation will position you as a trusted advisor and supporter to the Executive as well as the division's leadership team as you leverage this experience in executive support roles.
